Summary
Job Description:
The position of Office Manager is to perform bookkeeping, administrative, and clerical tasks.
This position will be handling incoming phone calls and other communications, greeting and registering visitors, managing files and updating paperwork and documents along with general bookkeeping and accounting tasks.
This position is for multiple locations.
Essential Functions May Include:
Answering incoming phone calls and flowing down messages to team members.
Manage filing for all departments and archiving records Reporting daily attendance and absences Ordering and maintaining office supplies and completing vendor returns Opening and distributing mail Checking in visitors Set Up & Maintain customer & vendor records in Quickbooks and Fishbowl Accounts Payables (Receiving & processing invoices, processing vendor payments) Accounts Receivables (Receiving customer payments, collections, sending customer statements, updating A/R collection spreadsheets) Monthly bank and credit card reconciliations, journal entries & WIP inventory Work order processing and customer billing Purchasing Assist in HR Generalist/ Payroll activities (i.
e onboarding, time and attendance ) Scheduling employee meetings HR filing Prepare employee materials for hiring and benefits Perform payroll functions, such as maintaining timekeeping information and processing and submitting payroll Worker's Compensation payroll reporting
Experience:
Proven experience in office management or a similar role Strong organizational skills with the ability to multitask and prioritize tasks Excellent communication skills, both written and verbal Proficient in QuickBooks Enterprise required and Microsoft Office and Google Suite desired Familiarity with vendor management processes Detail-oriented with a high level of accuracy in work Ability to maintain confidentiality and handle sensitive information with discretion This is an excellent opportunity for an experienced Office Manager to join our team.
